Our Commitment to Responsible AI in Recruitment

Why This Policy Exists

ThermaNexus pioneered the world's first Agentic AI recruitment platform dedicated exclusively to HVACR, Data Centre, and Energy talent. Our platform employs Agentic AI Employees — autonomous AI specialists that perform recruitment tasks around the clock. We believe in full transparency about how AI operates within our business, what it can and cannot do, and the safeguards we maintain to protect candidates, clients, and the integrity of the recruitment process.

How Our AI Operates

ThermaNexus uses a team of 19 Agentic AI Employees, each designed with a specific role in the recruitment lifecycle. These AI agents source candidates, screen CVs, research clients, draft communications, generate reports, and manage data quality. They operate under the supervision of Harvey, our AI Team Lead, who orchestrates all activity and ensures system stability.

Every AI agent operates within strict constitutional boundaries that are hardcoded into the platform — not as guidelines, but as immutable rules enforced at the code level. These boundaries cannot be overridden by any agent, including Harvey.

Our AI Principles

Augmentation, Not Replacement

Our AI agents augment human decision-making. They research, analyse, and recommend — but every critical decision passes through human review. No candidate is contacted, no proposal is sent, and no placement is confirmed without explicit human approval from our team.

Accuracy Over Speed

We enforce a zero-tolerance policy on data fabrication. Our AI agents follow the principle: 'If it is not written, it does not exist.' Agents never infer, assume, or fabricate candidate qualifications, salary expectations, or work history. Every data point must be verifiable from the source document.

Transparency in Communication

All communications drafted by our AI agents are clearly identified as drafts pending human review. We do not use AI to impersonate humans in direct candidate or client communications. Every email sent from ThermaNexus is reviewed and approved by a human team member before delivery.

Data Privacy and Consent

We comply with India's Digital Personal Data Protection Act (DPDP) 2023 and global GDPR standards. Our consent engine records explicit consent from every candidate and client before processing their data. Candidates can withdraw consent at any time, and their data will be handled in accordance with their wishes. We never share personal data with third parties without explicit consent.

No Manipulation or Bias

Our AI agents are designed to evaluate candidates based on skills, experience, and qualifications — never on age, gender, ethnicity, religion, or any protected characteristic. Our screening algorithms are regularly audited for fairness and consistency. We do not use AI to manipulate candidates into accepting offers or to misrepresent roles to attract applicants.

Data Quality Guardianship

Our dedicated Data Intelligence Officer continuously monitors every record in our system for completeness and accuracy. Records that fail quality checks are flagged and enriched before they enter the recruitment pipeline. This ensures that every recommendation our system makes is based on verified, complete data.

What Our AI Cannot Do

Our AI agents are constitutionally prohibited from:

  • Deleting any candidate or client data
  • Sending emails or contacting anyone directly without human approval
  • Making placement decisions autonomously
  • Accessing or sharing data beyond what is required for the recruitment process
  • Modifying their own operational rules or boundaries
  • Overriding human decisions or instructions

Human Oversight

Every AI action within ThermaNexus is logged, auditable, and monitored by an independent watchdog system that operates separately from the main AI team. If any AI agent attempts to act outside its boundaries, the action is automatically blocked, logged, and escalated to our human team immediately.

Umesh Kale, Founder of ThermaNexus, maintains direct oversight of all AI operations and receives real-time alerts on critical system events.

Continuous Improvement

We are committed to continuously improving our AI systems based on outcomes, feedback, and evolving best practices. Our outcome tracking engine analyses every placement to identify what worked and what can be improved — ensuring our AI gets smarter without compromising on ethics or accuracy.
